Welcome!

Welcome to the William H. Hannon Library!

 

Like many departments on campus, the Library heavily depends on its student employees and, as a result, we see you all as being major contributors to who we are and how we get things done.  Thank you.  Please feel free to share any thoughts or suggestions you have, concerning your employment here in the library or as a student using the library, with your supervisor and other staff members.


This handbook, along with guidance from your supervisor, will provide you with the information you need in order to be a successful member of our team.  As with all employment, there are a fair amount of procedures to learn, resources to know about and opportunities to be had.  We hope your time at the WHHL will be enjoyable, and even more so, we hope it will be educational as it helps to prepare you for future employment.

 

 

Library Facts

Before we go any further, let’s pause to go over some fun and interesting facts about the library. 

 

WHHL first opened way back in 2009.  Almost instantly, the building, with its unique and sleek architecture, became a focal point of the campus and one of the most sought after places for student employment. 

 

WHHL serves a diverse undergraduate student body of over 5000, nearly 2000 graduate students, faculty, staff, and outside researchers from across the country and across the world.

 

Our collections total nearly 500,000 volumes of books and journals and 15,000 video recordings. 

 

In addition to resources available in the main stacks, LMU’s Department of Archives & Special Collections is home to over 12,000 rare books, including our pride and joy, Shakespeare’s first four folios, and has one of the largest postcard collections in the world.  

 

 

Professionalism

Professionalism is an essential element of any work environment.  As employees of LMU’s William H. Library, you are expected, as with any job, to act professionally.

 

Examples of professional conduct include:
•    Being punctual and reliable
•    Communicating about work related and attendance issues
•    Being ethical and honest
•    Respecting and complying with workplace rules and policies
•    Respecting your supervisor, library staff, coworkers, and library patrons
•    Using polite language (i.e. saying “Please,” “Thank you” and “You’re welcome.”)
•    Listening intently to instructions
•    Dressing appropriately


Professionalism, like knowing Microsoft Office, is an employable skill.  Having it will help you get and maintain a job; not having it may help you lose one.  Please keep this in mind as you strive to be a good employee here at LMU and beyond.

Customer service and professionalism go hand in hand.  Student employees, whether they work directly with the public or not, will be expected to maintain good customer service skills.  For more information see Customer Service.

 

 

Employment Policies and Procedures:

 

Attendance

Students are expected to work their assigned hours.   It is critical that you inform your supervisor when you will be absent or late.  Please consult your department’s policy for further information.

 

 

Breaks

Students can work up to five (5) consecutive hours without taking an unpaid break.

 

If you will be working more than five hours, you must take at least a half-hour break and record it on your MyTime timesheet (clock out and back in).

 

 

Maximum Hours

Students may not work more than:

  • 20 hours per week during school sessions
  • 40 hours per week during school vacations
  • eight (8) hours per day
  • six (6) consecutive days in a workweek (Sunday through Saturday)

 

Students will be paid for overtime and double time. 

 

Please note: Hour limitations take into account all work study jobs, meaning, whether you have one student employment position or two, you can only work 20 hours between them, work 40 hours per week during school vacation between them, etc.

 

 

Dress Code  

Students are expected to dress in a manner that reflects well upon the university and the library. Clothing should be clean and well maintained. Dress can be casual, but it CANNOT be revealing or display offensive language. 

 

For safety purposes, some departments require closed-toe shoes. Please consult your department’s policy to see whether this rule applies to you.

 

 

Electronic Devices  

Policy concerning electronic devices is generally department specific.  The most basic rule of thumb is an electronic device should never affect the quality of the job you do or the service you provide a patron.

 

 

Studying on duty

Departments have their own individual policies concerning studying on duty.  Please consult your department’s policy for more information.  If you are allowed to study, it should never affect the quality of the job you do or the service you provide a patron.

 

 

Food and Drink

Please consult your department policy.

 

 

Visitors

Students should not visit with friends during scheduled work hours or bring visitors into library workspaces without permission.

 

 

Evaluations

Students will be given a performance evaluation every Fall and Spring semester.  To view an evaluation form, please see Student Evaluations.

 

 

Disciplinary Action

Unfortunately, there are times when students are unwilling to follow the necessary policies and procedures required of them.  When this happens, students may be subject to disciplinary actions.  Disciplinary action can take the form of a verbal warning, a written warning, a suspension, or termination.  Disciplinary form  

 

Confidentiality

Library employees are required by law to keep all patron information confidential.  The books people check out, the research they conduct, the questions they ask, etc. is all private information.  Do not share this information with other library patrons or fellow student employees.

 

It is also important to respect the confidentiality of your supervisor, student employees and other library staff.  Unless told otherwise, do not share anyone’s information (i.e. work hours, contact information, etc.).

 

 

Ethical Situations

If a student employee encounters a situation where she/he is pressured or asked to do things that are contrary to the Library’s policies (be it by a supervisor, a coworker or a library patron), they should seek assistance from their supervisor, their supervisor’s superior or the Associate Dean, Tobeylynn Birch (3rd Floor Admin Suite).

 

 

Library Equipment and Supplies

Library equipment and supplies are to be used for library business only.  Library equipment includes computers, printers, phones, etc.

 

 

Preservation of Library Materials

Students are responsible for helping to protect library materials and resources.   Please take common sense measures: keep food and drinks away from books, paper, and electronic equipment; handle materials with care; do not sit books on top of things that may scratch or gouge them; immediately report electronic equipment issues or failures.
